Key Responsibilities

  • Serve as on call support for operational needs and emergencies, ensuring timely responses to any issues that arise.
  • Assign charters to drivers, communicate schedules and updates clearly, and print and distribute driver orders for all charters.
  • Map routes and ensure compliance with Hours of Service regulations, helping drivers manage their time safely and legally.
  • Coordinate charter itineraries with customers, including parking, tolls, hotels, and other logistics.
  • Book hotel rooms and arrange rental vehicles when needed to support operational requirements.
  • Coordinate preventive maintenance and vehicle repairs with shop personnel to keep the fleet in top condition.
  • Manage bus rescues or replacements to maintain uninterrupted service in case of vehicle issues.
  • Coordinate daily vehicle cleaning priorities and maintain and confirm driver schedules, time off requests, and exchanges.
  • Send daily reminders to drivers for upcoming charters and order fuel as needed for fleet operations.
  • Document accidents, incidents, and operational concerns, assisting with accident and incident investigations.
  • Ensure full charter coverage during emergencies or driver cancellations, addressing and documenting vehicle performance concerns.
  • Drive company vehicles when requested, provided proper licensing is held.
  • Maintain compliance with DOT and FMCSA regulations, monitoring Hours of Service and ensuring all charter and vehicle requirements are met.

Qualifications

Strong communication and organizational skills are essential. The ability to multitask and respond quickly in time sensitive situations is required. A professional demeanor with drivers, staff, and customers is important. Candidates must be detail oriented with strong problem solving abilities. Availability for on call responsibilities is required. A valid CDL is preferred for driving assignments when needed. Previous experience in transportation, logistics, or dispatch is beneficial but not required. A commitment to safety, reliability, and customer service is essential.
